6 Aspects You Should Automate With Your Business
First of all, when people think of automating, they think it takes just about anything and everything off their plate. (Which, yes, if you'd like that to be the case, automating is definitely for you!)
However, many business owners are afraid to automate their business due to the possibility of errors happening, feeling out of control or creating a less-personalized experience for clients.
Well, I'm here to debunk that assumption.
Automating your business can be as simple as sending an automatic follow up email to automatically assigning you and/or your team tasks and letting you all know what to do and when.
That being said, there are many aspects of a business that can be fully automated to save you hours!
Let's go over those aspects below.
1. Appointment Scheduling.
Scheduling appointments can be time-consuming, between figuring out everyone's schedule, sending confirmation and reminder emails and making sure the client knows where they need to be and when. Tools like Dubsado, Honeybook and Calendly can easily automate this process for you.
2. Inquiry Process.
Ask yourself what happens when a potential client expresses interest in working with you. Do you have an Inquiry Form? Do you have an automatic email being sent immediately after they fill out that form? How long does it usually take for you to review the form and get back to them? Are you communicating that information to the potential client?
The inquiry process is the most important process of your business, because it is your business' first impression. You want this process as efficient and automated as possible, while also making sure the potential client feels well taken care of.
3. Client Fulfillment Process.
If you want to work with high-end clients, you'll need a high-end experience, and that starts with solid communication. Which, in today's world, can be exhausting if you don't have any automations set in place.
With tools like Dubsado and Honeybook, you can automatically send emails, remind clients to pay their invoices and send forms to fill out, so you have everything you need in order to fulfill the client's needs.
4. Client Invoicing.
Let's be honest, sending reminder emails to ask a client to pay up, can be rather... awkward, especially if it's the 2nd or 3rd reminder. That's where tools like Dubsado or Honeybook come into play.
Through a payment plan or a workflow/automation, reminder emails can automatically be sent to the client, reminding them to pay by the due date.
Think of this automation as an out of sight, out of mind type of automation. You'll get paid faster, without having to worry about it or manually sending awkward emails to clients.
5. Team and Project Collaboration.
With tools like ClickUp (a task management tool), you can automatically trigger notifications to be sent to team members as a project moves throughout the process.
What if you were working on a project and needed to send it off to someone on your team to review? You would type out an email letting them know it's ready. With ClickUp, you can click one button and that canned email will automatically be sent to the next person in line.
6. Email Marketing.
Automating the emails being sent to your new email subscribers is what we like to call a Nurture Sequence. Nurture Sequence workflows can easily be set up in a tool called Flodesk.
Through a Nurture Sequence, a new email subscriber can added to your list and automatically sent a Welcome Email thanking them for joining your list. From there, they can be "nurtured" and sent as many emails as you'd like to help build the relationship and build trust with them.
Before you take the time to automate your business, make sure you have solid systems in place.
